YouIn Excel I have a table with products in column A, regions in column B and sales in column C. I want a pivot table showing total sales by region. Give me step-by-step clicks I can follow.
AIHere's how to build it. 1) Click any cell inside your table. 2) Go to Insert > PivotTable. Check that the range covers the whole table, choose New Worksheet and click OK. (In some versions you pick "From Table/Range" first.) 3) In the PivotTable Fields pane on the right, drag "Region" into the Rows area. 4) Drag "Sales" into the Values area. You'll see "Sum of Sales" for each region. If it shows "Count of Sales" instead, there may be text or blank cells in the Sales column. Click the field in Values, choose Value Field Settings and pick Sum. After you edit the original data, right-click the pivot table and choose Refresh to update it.
Example: Region in Rows, Sales in Values
1A ProductB RegionC Sales
2NotebookEast$300
3PenWest$120
4NotebookWest$240
5FolderEast$180
6PenEast$150
7NotebookEast$210

โœ… The pivot table shows East $840 and West $360, with a grand total of $1,200.

Tips for better results

  1. Split by product with Columns

To break each region down by product, drag "Product" into the Columns area. If you're unsure which field goes where, just ask the AI.

In the pivot table I just made, I also want to split each region by product. Which field goes in which area?
  2. Need just one region? Use SUMIF

If you only need the East total, a SUMIF formula does it without a pivot table. With the example table, it returns 840.

    =SUMIF(B:B,"East",C:C)
  3. Adding rows often? Make it a table first

If you keep adding rows, turn the data into a table first (Insert > Table) and build the pivot table from that. A refresh then picks up new rows automatically.

How do I make my pivot table include new rows automatically when I add them to the data?

FAQ

It shows Count instead of Sum. Why?

If the Sales column has text or blank cells, Excel may count instead of add. Click the field in Values, open Value Field Settings, choose Sum, and check that the column holds only numbers.

Does this work in Google Sheets?

Yes. In Google Sheets, go to Insert > Pivot table, then add Rows and Values in the editor on the right. Add "in Google Sheets" to your prompt and the AI will use those menu names.

I changed the data but the pivot table didn't update.

Pivot tables don't update on their own. Right-click anywhere in the pivot table and choose Refresh.
