Make a Table in Excel: Just Paste It and Ask AI

When this happens

You collected supply requests over chat, and now you have a pile of text like "Emma Sales pens 3, Liam HR notebooks 2, Noah Sales sticky notes 5, Olivia Marketing pens 2." Typing it into Excel cell by cell takes ages. Paste it as is, tell the AI which columns you want, and it will turn it into a table.

Ask like this

The answer we got

Example AI chat
YouTurn the text below into a table I can paste into Excel. Use the columns Name, Team, Item and Qty, and add a total row for Qty at the bottom. Just show the table. (paste the text here)
AIHere you go. Click cell A1 in Excel and paste. Name | Team | Item | Qty Emma | Sales | Pens | 3 Liam | HR | Notebooks | 2 Noah | Sales | Sticky notes | 5 Olivia | Marketing | Pens | 2 Total | | | 12 In the total cell (D6), use=SUM(D2:D5)instead of a typed number so it updates when quantities change.
Example: messy request text sorted into four columns
1A NameB TeamC ItemD Qty
2EmmaSalesPens3
3LiamHRNotebooks2
4NoahSalesSticky notes5
5OliviaMarketingPens2
6Total12

โœ… Put =SUM(D2:D5) in D6 and you get 12 (the total quantity from 4 people).

Tips for better results

  1. All in one cell? Use Text to Columns

If each line lands in a single cell, select that column and use Data > Text to Columns with "|" as the delimiter. Or ask the AI to resend it separated by tabs.

Give me that table again as tab-separated text so it pastes straight into Excel.
  2. Totals by team with SUMIF

Once the table is in, use SUMIF for totals per team. With the example table, Sales comes to 8.

    =SUMIF(B:B,"Sales",D:D)
  3. Ask for sorting and numbering too

Say how you want it organized, like "sorted by team" or "add a number column at the front," and you'll have less tidying to do after pasting.

Sort it by team name and add a number column at the front.

FAQ

Everything pasted into one cell. What now?

If the answer comes through as plain text, it may not split into cells. Use Data > Text to Columns as in the tip above, or ask the AI to "send it again separated by tabs."

Can I paste it into Google Sheets?

Yes. If it doesn't split into cells in Google Sheets, use Data > Split text to columns. The SUM formula works the same way.

Is it OK to paste text that includes phone numbers?

It's safer to delete personal details like phone numbers or addresses, or replace them with XXX, before pasting. Keep only the columns the table actually needs.
